A Data List is a pre-defined list of information that can be displayed in a dropdown within a Custom Data Field. This can be useful if you do not wish deployers to manually enter information such as Supplier IDs, Cost Centers and Project Codes when creating a virtual card.
From the Administration page, select Data Lists and View Data Lists.
Existing Data Lists will be displayed on screen. If you have any Dynamic Workflow Data Lists, these are displayed below Data Lists. Click Add Data List Item to add another item.
Click Delete to remove a Data List Item.
Click Create New Data List.
-
Enter the Name of the Custom Data Field, for example, Employee ID. Then enter a Description, for example, List of Employee IDs to be used for virtual payments.
-
Toggle Active to on.
-
Click Create Data List.
The Data List template has now been created.
To add content to the Data List template, click Add Data List Item and enter the first item to be displayed in the dropdown and click Add Data List Item.
To add an item enter a Name and a Display Value.
-
Name—this is how the data is visible for team admins, and is shown in reports and in the Custom Data Field section of deployed cards.
-
Display Value—this is how the data is visible for end users, and is shown when selecting a Custom Data Field option.
Note
For example, if the Custom Data Field was Employee ID then the Name would be their ID Number and the Display Value would be their name.
The items then display in the preview panel below. Repeat to add more items.
Once you have created the Data List, you can link it to a Custom Data Field by viewing your Custom Data Field Templates and choosing the Data List from the dropdown for the relevant Custom Data Field.
From Data List Details, click Bulk Upload Item.
Click Choose File. Select the file that contains all of the required data from your browser and click Upload.
If you would like to see an example of a completed file, click Download Sample File to download a .csv file that details the data fields required.
The screen will display the Parsed Result with the valid or failed information.
Click Process File. The File Status will be 'Imported Success'.
