Teams can be configured to allow Team Members to request cards that exceed a card-specific requested amount or choose to send all card requests for approval. When approval is required, all Approvers within the relative Approval Band will receive a notification.
Approvers can be Team Admins, Team Members or users not associated with any Team.
Approvers have an additional icon displayed at the top of the Home screen that they can use to access their Card Requests queue. A red badge will display with a count denoting the number of outstanding card requests pending approval.
Click the icon to view all pending card requests that require approval.
In support of Quick Reject and Approval, the following details are displayed to help the Approver make an informed decision.
Requestor—the Team Member name and email that has requested the card.
Team Name—the Team the request relates to (important as the end user may be a Team Admin of more than one Team).
Requested Amount—the monetary amount requested.
Supplier—who the end user would like to pay.
Request Reason—the request reason provided by the end user to add greater context.
You can drag a pending card request to the left of the screen to expose the quick Reject and Approve buttons.
If you do a long swipe to the right, this will automatically approve the card.
Where the Approver needs additional detail for a particular request, they can tap into an individual card request to review additional information.
Tap into the Card Request to view full card request details, such as:
Team Name—the Team the request relates to. Team Admins and Team Members can belong to more than one Team.
Requestor—the name and email address of the Team Member that requested the card.
Requested Amount.—the monetary credit amount that has been requested for the card.
Active Dates—the specific dates during which the card will be active.
Supplier—who the Team Member would like to pay.
Request Reason—any notes provided by the Team Member to add greater context to the request.
Custom Data Fields—any Custom Data Fields configured by your Corporate Administrator.
List of Approvers—a list of approvers who have already approved the request, or approvers who also have the right to approve the request (within its current Approval Band).
To approve or reject a card request, tap Approve or Reject.
When you are rejecting a card request, you will be prompted to provide a reason. The Team Member will be able to view the reason you enter.
The Visa Commercial Pay App will send a notification to the Team Member, confirming approval or rejection.
Reviewers will receive a daily notification to inform them of any outstanding reviews. This will be sent as an email to their registered email address. The notifications are sent once a day and include the number of transactions that are pending review.
They will also see any pending reviews and approvals in the approval tab, accessed by the icon at the top of the home screen. Clicking the icon will open the Pending Approvals screen, and you can select the tab to view either Card Requests or Post Spend Review.
Select the Team Member whose transactions you want to review. You will be shown a list of their outstanding transactions. Select a transaction to see more information.
When you have viewed the information provided, you can either Flag the transaction, or mark it as Reviewed.
If you Flag the transaction, you will need to enter a note.
If you mark it as Reviewed, no further action is needed.
The enriched data and details of any flagged transactions will be included in a new Visa Commercial Pay Reporting report.
